How To Search for Suffolk County Inmates & the Reason for the Arrest for Free

When people are arrested in Suffolk County, they go to one of two jails — Riverhead or Yaphank correctional facilities.1 These jails do not have an independent online directory that displays jail records or a jail roster, so you cannot find someone’s mugshot or look up their arrest records through them via these means.

Suffolk County also maintains a sheriff’s office that operates these two county jails.5 They have a central records office that is open 24 hours a day and 7 days a week, where inquiries about Suffolk County arrest records can be directed:

The police department provides the public with a formal records request form.6 Reports costs $0.25 per page, so be sure to contact the Records Department to find out how many pages are contained within the report. You can also contact them via email at [email protected] or via phone at (631)537-7575, Ext. 235.

Be sure to provide as much information about a person and incident as you can. A records department can only issue records that accurately reflect the information they are given.

When seeking police records in the town of Riverhead, you should contact the Riverhead Police Department. They do not have an online records request form. However, their Central Records Department can be reached at 631-727-4500, Ext. 322 on weekdays; Monday – Wednesday 10:30 am – 4:30 pm, and Thursday-Friday 8:30 am – 4:30 pm.

The Shelter Island Town Police Department maintains all police records within Shelter Island Town. There is an option to request records online. You can obtain police records by filling out a police FOIL request and submitting it online, or printing the form out and mailing it to this address:

You can obtain police records in Southampton by contacting the Southampton Police Department. They provide members of the public with a public records application. To ensure that you receive the correct records, check the Records Request box at the top and not the Freedom of Information Request.

In addition to requesting records, Southampton PD issues daily arrest news that serves as a recent arrest report, informing the public of recent arrests and bookings.7 The news report includes the name of the person arrested, the date, and the circumstances (probable cause) surrounding the arrest.

Individuals looking for police records in the town of Southold can fill out a Records Release Form through the Southold Town Police Department. MVA on the form stands for “motor vehicle accident.” Check the box labeled Other/Explain to request police records.

How To Verify if Someone Has a History of Crime in Suffolk County NY

It is important to understand that Suffolk County criminal records generally reflect a person’s pending charges and indictments, or convicted charges and indictments from a previous trial. However, there are several more records relating to a person’s criminal history that include sex offender registries, probation registries, expungement records, juvenile records, and more.

All of these records are maintained by custodians. These custodians are federal, state, and local governmental agencies. In Suffolk County, some of those custodians include the Suffolk County Clerk of Court, the various District Courts, prosecution offices, and the myriad of police departments within Suffolk County.8

Track Down Prior Charges & Criminal Convictions Through the Suffolk County Court

The Suffolk County Clerk does not maintain all Suffolk County public records, but does maintain records of felonies committed and prosecuted in Suffolk County. To obtain records of misdemeanors and local town infractions, you must contact one of the Suffolk County District Courts.

The Suffolk County Clerk maintains records of charges or indictments and the dispositions of felony criminal cases. The County Clerk provides clear instructions on how to obtain these criminal records. There is not a form, but the request must be in writing and include:

  • First & Last Name
  • Date of Birth
  • Date of Arrest (the year will suffice)
  • Any Additional Information

The Suffolk County Court does not offer a free criminal record check, which allows citizens to check if someone has a criminal record; however, there are a few other methods requiring nominal fees to check other people’s records below.

The record will cost $5.00 and must be paid via money order or check. The request and payment should be made out to:

Suffolk County court records–including criminal case dispositions and court dates–are generally available to the public. However, you cannot simply ask the court to look up someone’s criminal record; you must request a specific document.

For example, if you want to obtain a record of a criminal disposition, you must specifically request that one record. You will only receive one record per request.

How To Acquire Warrant Details in Suffolk County New York

Suffolk County warrants are formal documents created by law enforcement agencies that lay out criminal charges against individuals.

If the warrant is for a misdemeanor, the warrant is the formal charging document and sent to the appropriate district court with an appointed trial date. If the warrant is a felony, the warrant is also sent to a prosecution office where a prosecutor will draft an indictment that will serve as the formal charging document.

If you want to find out if someone has a warrant in Suffolk County, you must contact the law enforcement agency that drafted or served the warrant because there is not an online warrant search option. You can find every law enforcement agency in Suffolk County by using the agency directory.9

You must contact the appropriate law enforcement agency directly by phone or in person.

Because warrants become indictments and charging documents, you can look up what the indictment or charge is by using the New York State Unified Court System. This will only provide you with the name of the charge and the number of counts, but will provide no details surrounding the circumstances of the warrant and arrest.

How To Determine Who Is on Probation in Suffolk County

Probation in Suffolk County is a criminal diversion program for people convicted of felony charges. Rather than placing someone in prison after a conviction, the person is granted the right to maintain their liberty under government supervision.

There is not an online option to see who is on probation specifically. If the probation arises from a state or county charge, you should contact one of the various local probation offices.10

Probation is a sentence. Therefore, you can also obtain a record of the criminal case disposition by following the instructions for obtaining criminal records listed on this page. By utilizing the New York Unified Court System, you will be able to see the sentencing and probation details of a particular case. You must know the person’s name to view this information, and you should know which court had jurisdiction over the case.

How To Perform a Suffolk County Background Check

the Suffolk County Police Department provides a limited criminal record search and letter of good conduct.

There are separate instructions for requesting information about yourself and for other people. Follow the instructions for criminal record search to obtain the information the Suffolk County PD may have on yourself or person of interest.

To access Suffolk County public records in a more comprehensive background check, the New York State Office of Court Administration (OCA) provides statewide background checks for employment and personal purposes.

The criminal history record search (CHRS) request can be completed online via the direct access page, or by completing the criminal history record search application form and mailing it to the address below:11,12

The search costs $95.00 and will only return results if you provide an exact match of the person’s name and date of birth. The background check is limited, as it only provides public records relating to criminal convictions that aren’t sealed, dismissed, or expunged. It also displays some pending criminal charges.

You can discover more information and find out more about the limitations if desired.

Suffolk County does not have an independent background check process. You must use the same procedure as the one for obtaining a background check in New York. The procedure is as follows:

  • Submit your request to the New York State Office of Court Administration via either Direct Access or completing the Application Form
  • Mail it with $95
  • Be sure to include individual’s full name and date of birth
  • Expect results by email the following business weekday

The EEOC enforces federal laws that prohibit employment discrimination. It is not unlawful for an employer to require someone to provide criminal history details, but it is unlawful to discriminate in employment based on race, color, national origin, religion, or sex.

If you believe you’ve been discriminated against (based on protected classes, criminal records, arrest records), you can file a charge of employment discrimination with the EEOC. Here’s how to file a charge with the EEOC, and you can use this portal to file.13

If an employer uses a background reporting company to conduct a background check on you, they must receive your written permission by law. If an employer got your background report without your permission, or rejected you without sending you the required notices, report it to the FTC.

How To Obtain All Criminal Records in New York via State & Federal Agencies

The New York Division of Criminal Justice Services (DCJS) maintains all official criminal history records and provides instructions on how to obtain criminal history records.14

These records detail arrest, indictment, conviction, and sentencing information reported to the state by police departments, district attorneys’ offices, the courts, and other criminal justice agencies.

Someone’s criminal record in the state of New York is a privacy right and not subject to public disclosure under New York’s Freedom of Information Law (FOIL). New York law explicitly states that you cannot request a criminal history record response for another person to determine if that person has a criminal history. You must submit fingerprints when you request a criminal history record response.

This means that employers nor third party background check companies can request your criminal history record through the DCJS without your express permission and fingerprints.

There are two types of criminal history records: unsuppressed and suppressed. If you need both, you must submit a different request for each. To obtain your records you must:

  • Schedule an appointment to have your fingerprints taken
  • Use the correct service code: 15464Z – Suppressed Record or 15465F – Unsuppressed Record
  • Bring one form of identification
  • Payment: $13.50 if you live in NY or $43.50 if you live outside NY

After the DCJS receives your request, the results will be mailed to you in 3-4 weeks. You cannot pick up your criminal history record response in person.

As mentioned in the previous section, you can also request a background check through the New York State Office of Court Administration (OCA) and receive a limited report that details public criminal case convictions for a particular person.

You may utilize the New York State Unified Court System public index to view a person’s pending criminal charges and most recent case dispositions.

Additional state of New York agency public resources you can search for more criminal information include:

  • New York Department of Corrections & Community Services: Their online incarcerated lookup will show you who is currently confined in a New York state prison and the reason for their confinement. All you need to input is a person’s last name to receive results.You can also find someone’s mugshot by checking the box “Display offender photos in search results (if available)”.

  • Federal Bureau of Prisons: The Bureau’s online inmate locator will show you who is currently in a federal prison and where they are located.15 You must know a person’s first and last name to locate them. The inmate locator also includes details of everyone who has been previously confined in a federal prison but since released.
  • New York Department of Criminal Justice Services: The DCJS maintains the New York state sex offender registry. Their online sex offender directory displays individuals required to register as a sex offender in New York.16
    The directory only includes individuals deemed a medium or high risk of re-offense. Check out further information about the registry if interested.

How To Access Public Court Cases & Documents in Suffolk County

If you want to look up Suffolk County public records pertaining to anything from probate court cases to specific documents about a civil case, you can utilize the eCourts Case Search Portal.

For the search to yield results, you only need the first and last name of the person you’re looking for. When you find the case in question–for example, a criminal case–you can locate the pending charges by clicking on “Charges” under “Case Details” on the left side of the webpage.

If the person you’re searching for has a common name, the search may yield many results, making it difficult to locate the right person.

To narrow your search, it’s important to understand that Suffolk County judicial records and trials are held in 6 district courts and one county court. The district courts each have jurisdiction over misdemeanors, traffic violations, and town infractions committed within their respective districts.

The county court at large has jurisdiction over felonies and major crimes. When using the unified court system, select the right court by using the drop down arrow under the second search block labeled “Narrow your results by Court”. This will refine your search and make it easier for you to accurately find the person you’re looking for.

If you’re unsure which court has the case record you seek, it is best to start your Suffolk County case search with the Suffolk County Court; it is the largest court and offers the broadest scope for your search. Then proceed to select the other 6 remaining courts until you find the case you’re looking for and the accompanying court documents.

The process of updating the docket often takes a while and the online system isn’t updated to accurately reflect pending case information. You should start with the court nearest the incident location. If you’re unsure of where an incident took place, start with the Suffolk County Court and continue making contact with the remaining courts until you find the information you need. All other types of Suffolk County court cases can be found conveniently through this resource as well.

How To Acquire Suffolk County Vital Records: Marriage, Divorce, Birth & Death

Vital records document life events and most commonly refer to birth and death certificates, marriage licenses, divorce decrees, information on domestic partnerships, wills, and the like. In many states, you can check if someone is married or divorced by getting copies of the certificates and decrees.

You may also be able to find a person’s death and birth certificates. However, in the state of New York only a spouse, parent, child, or someone with a documented legal right is eligible to obtain these official records.

Government agencies are the only vital record custodians. In Suffolk County, the Suffolk County Clerk of Court is the record custodian for divorce, stipulation, and domestic relations orders.19 They are not the record custodian for marriage, birth, or death certificates. You must contact the local town Clerk of Court to access those records.

You may also obtain vital records through the New York State Department of Health and the National Center for Health Statistics.21,20 It is important to remember that if you are not next of kin nor have some other legal right, you will not be able to obtain any of these documents.

Get Suffolk County Marriage Records Through the Local Town Clerks

Vital records information like marriage, divorce, and dissolution are not publicly available. They can be searched for through third-party platforms which can find out if someone is married nationwide, and also check aliases or perform online checks via social media and genealogy sites.

In Suffolk County, only specific personnel may obtain copies of vital records:

  • Attorneys of record
  • Individuals with properly executed Power of Attorney
  • Duly appointed personal representative of a deceased’s estate
  • Individuals with a court order granting permission

The Suffolk County Clerk does not maintain marriage, birth, or death records. If you want to obtain a copy of a record of marriage, certificate of birth, or a certificate of death, you must contact one of the local town clerks. This can be done by typing “[city/town name] clerk” into any search engine and browsing for the applicable contact information, address, or ordering process.

Obtain Divorce Records via the Suffolk County Clerk

The Suffolk County Clerk maintains records of divorce, stipulation, and domestic relation orders. To obtain these records you must fill out a Suffolk County Divorce Records Order Form.

This is the only way to obtain the records, as there is no online submission method. Moreover, you must know the index number for the order. There is a $5.00 fee for the Suffolk County Clerk to perform this search for you.

You can also obtain marriage and divorce certificates through the New York Department of Health. If you are not the spouse to a marriage, then you must have a judicial order accompanying the Application for Marriage Certificate or Application for Divorce Certificate to be mailed to:22

The application requires a valid ID and either a utility bill, phone bill, or government letter that clearly states your name and address. You must also pay a $30.00 fee per copy.

Additionally, the state endorses VitalChek, a third-party online platform to obtain Suffolk County marriage records, as well as records of divorce, birth, and death certificates.23 This method costs $45.00–plus vendor processing fees–per transaction.

Retrieve Suffolk County Birth & Death Certificates via Town Clerks

Birth and death certificates are not maintained by the Suffolk County Clerk’s office. If you want to obtain birth and death certificates in Suffolk County, you must contact one of the local town Clerks.

You can also obtain birth and death records through the New York State Department of Health by using the same method for obtaining marriage and divorce certificates.

These records can also be obtained through third-party platforms; however, they will not be official copies or certificates.

How To Find Property Ownership & Tax Information in Suffolk County for Free

Suffolk County provides a free public records search regarding property information and ownership details via their Online Land Records Search.24

These records include deeds, taxes, and mortgage information. Interested parties must use the 19 digit number Tax Map ID number, also known as the District Section Block and Lot numbers.

Without this number, your search will not yield results. You can find the Lot number by contacting a Suffolk County Local Town Assessor.25

Understanding Your Rights & Responsibly Utilizing Suffolk County Public Records

Most people do not realize they have protections against discrimination when others access public information on them. Employers and other bad actors can use public information about you to discriminate against you in employment and housing, or to harass you.

Public information is to be used responsibly for personal and professional use. When public information is sought for a personal use, it can be used for any reason that is not criminal or unlawful–such as stalking, intimidation, or identity theft. Often, public information about someone does not require the subject’s consent.

While public records can help screen family members, colleagues, neighbors, and potential dates and provides safety, reassurance, and satisfies curiosity, always consider and respect the privacy of others.

Citizens also have the right to submit a FOIA request to federal government agencies to obtain government information such as recordings of meetings, inter-dealings, court cases, and matters of public importance. There are some exceptions to FOIA requests, so be sure to contact the state, county, or local attorney’s office for more information.

When the information sought is for professional use, such as employment, the use must abide by the FCRA and other federal and local laws. The Suffolk County Human Rights Commission enforces laws that protect workers from discrimination and harassment.
